Job Description :
Plan, organize and manage the in-house details for groups and convention bookings (eg. guest rooms, menus, set-up, etc.). Participate in negotiating meetings/functions, rooms, rates and all related requirements. Ensure maximization of room and meeting space, revenues and profits while delivering a quality product.
Essential Duties & Responsibilities include the following. Other duties may be assigned.
Plan, upsell and detail the program with the client including verification and modification of space requirements, times, equipment, menus, themes/decorations, etc. Prepare the appropriate resumes and/or BEO to ensure quality service.
Follows the Crowne Plaza brand promise to respond to all leads within two hours of receipt, follow the role of the Crowne Plaza Meetings Manager, and complete daily debriefs with each client.
Manage function details and related activities to ensure that program requirements are satisfied. Anticipate and handle customer complaints and/or problems to ensure quality product delivery, customer satisfaction and repeat business.
Monitor and control individual event budgets and details to maximize revenues and minimize expenses while ensuring delivery of a quality product.
Act as a liaison between the associate booking the event and the client during the event.
Communicate all events to all department heads through a BEO (Banquet Event Order). Coordinates and takes primary role in precon meetings.
Maintain client relationship with follow up calls, visits, etc. as events date draws near, finalizing any details.
Effectively communicate to all hotel departments the information necessary to successfully execute the groups needs while maintaining a good client relationship.
Monitor contractual agreements pertaining to room blocks, meeting space, food and beverage and special concessions.
Being the contact the day of the event, and there to answer any questions, assist with changes and moral support.
Follow up with the client after the event/function to ensure event/function was a success, answer questions or concerns following the event.
Conduct post event survey.
Complete other tasks as assigned.
QUALIFICATIONS:
Must have at least 2 years of hotel experience as CSM.
Must be able to perform each essential duty satisfactorily. The requirements below are representative of the knowledge, skill, and/or ability required:
+ Be highly organized with exceptional attention to detail.
+ Position requires flexible hours, nights and weekends.
+ Creativity is needed to provide innovative problem solving.
+ Knowledge of food and beverage products, proper preparations, and presentation of food and beverage items.
+ Able to use results-oriented writing techniques and strategies for correspondence (e.g., memos, letters, reports, proposals, etc.) with correct grammar and punctuation.
+ Demonstrates ability to proactively prioritize needs, put first things first, and effectively manage resources and time.
+ Understands the positioning of the hotel, services provided and how the hotel can meet the needs of guests and be capable of closing business.
+ Understands the cost/benefits of prospective business and vendor contracts and negotiates contracts, which result in mutually beneficial outcomes.
+ Computer literacy a must.
+ Communication, both written and oral needed.
EDUCATION and/or EXPERIENCE:
+ At least 2 years of similar experience in a hotel
+ 4 year college degree or experience equivalent
