Job Description :
PAYROLL SPECIALISTReports To: ControllerFLSA Status: v FT ___PT ___CasualExempt Status: ___Y v NSupervises: None*General Description* Responsible for the entire bi-weekly payroll process, from collecting and reviewing electronic timesheets to distributing accurate and timely pay stubs to all employees for both MedFlight and MedCare. Records all payroll related journal entries in the general ledger. Reviews quarterly payroll reports for accuracy and tax compliance. Oversee and/or prepares all payroll related tax documentation. Participates in the general accounting function.*Major Duties and Responsibilities*Timekeeping System Coordination

Responsible for the entire bi-weekly payroll processes for both MedFlight and MedCare. At this time, MedFlight and MedCare payrolls are processed in separate weeks meaning there is a payroll to process for one company each week.
Oversees and monitors the timesheet collection, approval and compilation process; and exports data from the automated time and attendance systems to our third-party payroll processor for payroll processing for each pay period.
Maintains accuracy, comparability and consistency of the transfer tables used to export/import payroll data from automated time and attendance systems to payroll processor, to general ledger system.
Works with the IT Department as needed to ensure any changes to automated time and attendance systems are calculating as anticipated.

Payroll Management

Reviews payroll processor summary reports for each pay period to insure accuracy and completeness.
Reviews paychecks, direct deposits, and payroll dollar transfers/deposits for each pay period to insure accuracy and timeliness.
Works with payroll processor as needed to ensure any automated time and attendance system changes or general ledger system changes are handled appropriately by payroll processor.
Reviews quarterly reports from the company’s payroll processor to insure individual pay records are accumulating properly and that all payroll tax deposits and payroll related disbursements, (group insurance, pension, workers’ compensation, etc.) are occurring on schedule and as required.

Retirement Plan

Track 401(k) retirement plan withholding, process through payroll processor.
Confirm amount of 401(k) withholding is accurately reported from payroll processor to the 401(k) service provider.
Retrieve any 401(k) withholding changes from the 401(k) service provider and enter into payroll processor system each week for MedFlight and MedCare.

Other Employee Benefits

Track and audit paid time off (PTO) and sick time balances for MedFlight and MedCare. Make adjustments as necessary in automated time and attendance systems and payroll processor systems.
Run deduction report for HSA, FSA, and other withholdings and prepare file to upload into benefit service provider systems.

Taxes

Oversees preparation or prepares all required quarterly and/or semiannual federal, state and local payroll tax and information returns, including payroll withholdings, unemployment, workers’ compensation reports and pension contributions.
Reviews the accumulated individual permanent payroll records, inputs any required yearend adjustments, (third party sick pay, imputed interest, etc.).
Annually produces complete and accurate W-2s and distributes to all employees in compliance with IRS guidelines.

Completes special projects, onetime reports and analyses as requested.

Qualifications

Bachelor Degree in Accounting preferred.
Five to seven years of general accounting and payroll experience.
Experience with Microsoft Dynamics Solomon accounting software preferred.
Excellent written and verbal communication skills.
Ability to multi-task and handle multiple projects at one time.
Ability to work well with all levels of staff.
Ability to work in an unstructured, non-routine environment.
Ability to work independently with minimal direction.
Good planning and organizational skills.
Excellent computer skills.
Thorough knowledge of Microsoft Office.

Working Conditions Work is generally performed in a normal office environment with minimal exposure to noise, heat, dust, etc.
